A chatbot for practices
On a Monday morning the phone at a practice rings every minute, and a large share of the calls are about the same things: opening hours, prescriptions, referrals, whether new patients are being taken on. Every one of those calls ties up reception while people are queuing at the desk.
A chatbot on the practice website answers the organisational questions around the clock and takes down appointment requests with contact details. What it deliberately does not do is answer medical questions. Both are explained on this page.
The calls that do not need an appointment
They are always the same organisational questions, and almost all of them can be answered without anyone opening a patient record.
- What are your opening hours, and when are the walk-in sessions?
- Are you taking on new patients?
- How do I get a repeat prescription or a referral?
- What do I need to bring to my first appointment?
- Do you see NHS patients, private patients or both?
- Who covers for you when you are on holiday?
- Where can I park, and is the practice step-free?
We enter these answers in the customer portal once, on every plan, and the bot gives them out: in the evening, at the weekend and on Monday morning, while your reception team talks to the people who really need someone.
Why the bot gives no medical advice
The bot is built so that it does not assess symptoms, make diagnoses or recommend treatment. It answers only from the knowledge you provide, and what you provide is organisational: times, procedures, services. If someone asks about their results or their symptoms, the bot says plainly that this belongs in a conversation with the practice.
That is not a technical weakness. It is the only answer that is defensible on a practice website. An automated assessment that is wrong sticks in the patient's mind, and you have to put it right in the consultation. Here, a bot that knows its limits is worth more than one that has something to say about everything.
Appointment requests: what happens automatically and what does not
The bot does not enter appointments into your calendar by itself and has no access to your practice software. What happens instead depends on whether your practice has online booking.
- With online booking
- You enter its address once as your booking page in the portal. When a patient asks for an appointment, the bot sends them straight there, and the patient picks a slot themselves. The bot does not open up a second way of booking; it answers the questions beforehand and shows the way.
- Without online booking
- The bot takes down the appointment request with the reason, the name and a number to call back, and files it in your portal. Your reception calls back once and confirms the appointment, instead of first having to ask what it is about and when suits. How this works in detail is on the page automating appointment requests.
Data protection on a practice website
On a practice website data protection carries more weight than elsewhere, because people quickly write more into a chat window than they are asked for. So this page should say what happens to the conversations. These are the same commitments that are in our privacy policy:
- Conversations and contact details from the chat are deleted after 30 days at the latest, unless something else has been agreed.
- The chat window sets no cookies. No IP addresses are stored with the conversations.
- Data is stored on a server in Germany.
- To produce an answer, the question is sent to Anthropic in the United States, on the basis of the EU standard contractual clauses under Article 46 GDPR.
- A data processing agreement under Article 28 GDPR is concluded with every customer before any processing begins.
- The chat window carries the notice required by Article 50(1) of the EU AI Act, stating that an AI is answering.

Frequently asked questions from practices
- Does the bot give medical advice?
- No, it is not built for that. It answers organisational questions from the knowledge the practice provides, and for anything else it refers people to the practice itself, instead of assessing symptoms or making recommendations.
- Can the bot book appointments straight into our calendar?
- It cannot book anything itself. If you have online booking, it sends patients there and they choose their appointment themselves. Without it, the bot takes down appointment requests with the reason and a number to call back, and your reception confirms the appointment.
- Where are the conversations stored?
- On a server in Germany. Conversations and contact details from the chat are deleted after 30 days at the latest, unless something else has been agreed, and a data processing agreement under Article 28 GDPR is concluded.
- Do we need to rebuild our website for this?
- No. The bot goes into your existing site as one line of code. If installing it does not work first time, we do it together with you online.
