Automating appointment requests through your website
Most appointment requests are not lost because nobody wants them, but because they arrive at the wrong time: in the evening, on a Sunday, in the middle of another appointment. By the time you call back the next morning, the person has often already asked someone else.
A chatbot on your website takes these requests straight away, deals with the questions that come up and puts the request in front of you with contact details and a preferred time. What really happens automatically, and what remains your decision, is set out on this page.
Where appointment requests actually fall through
It is worth looking at the process backwards for once. Between the visitor who wants an appointment and the appointment in your diary there are more points where the visitor drops out than you might expect.
- The form asks too much
- Anyone asked to fill in six fields just to find out whether anyone has time often gives up. A chat asks only what is needed for the next step.
- The answer comes too late
- A call back on the next working day is too late for many requests. In the meantime the visitor has sent two more enquiries elsewhere.
- The request is unusable
- “Please call me back” with no reason means you start from scratch on the phone. Two questions in the chat would have sorted that out.
- The appointment does not fit at all
- Requests from outside your area, or for things you do not offer, still cost you a call back. A bot with the right knowledge filters them out beforehand.
What the chatbot takes off your hands
The process has four steps, and the first three run without you, at night too.
- Step 1: Clarify what it is about
- The visitor writes in full sentences what they need. The bot asks if anything is missing, and along the way answers the questions that come before an appointment anyway: roughly what it costs, how long it takes, what to bring.
- Step 2: Filter out what does not fit
- If the address is outside your area or the request is not among your services, the bot says so politely instead of setting up an appointment you would have to cancel. It is the least spectacular saving and often the biggest.
- Step 3: Take down contact details and a preferred time
- If the visitor mentions a time of their own accord, it goes into the enquiry. Together with the name and how to get in touch, everything lands in your portal, with the full conversation alongside.
- Step 4: You confirm
- In the portal you see what it is about and when the customer is available, and you call back or write. This step stays with you, and that is deliberate.
What does not happen automatically
The bot does not enter appointments into your calendar by itself. We do not currently offer a connection to Google Calendar, Outlook or Calendly. If you have online booking, the bot sends visitors there and they choose their appointment themselves. We say this here because it is the point where this page differs from other providers' advertising, and because you would otherwise find out after buying.
What you get is the groundwork: a clarified enquiry with contact details and a preferred time, taken round the clock. Confirming the appointment itself stays with you, or with the booking tool you already use.
Nor does it do any of the following: it does not phone anyone, it does not write quotes, and it has no access to any job management or stock control system.
Which businesses it pays off for
In our assessment, anywhere three things come together: enquiries come in through the website, a single job is worth more than a few pounds, and there are questions to clear up before the appointment.

Where it helps most: anywhere a lost enquiry hurts. With very small one-off jobs, or where customers only ever phone anyway, the benefit is smaller, and we will tell you so when we speak.
